UWM Music Library Student Employee Guide: Access to Rooms on 2-East

Training Resources for new student workers in the Music & Curriculum Library

Which Rooms and what to say

There are quite a few rooms on the floor with locked doors. We are frequently asked by people if they can use them.

Here are the details.

  • The Carrels in the Northwest corner - numbered E-256 through E-269 - These are assigned by the Libraries' Facilities Department on a  semester to semester basis. They are for graduate students who are writing Theses/Dissertations and Faculty members only. The details are here

https://uwm.edu/libraries/wp-content/uploads/sites/59/2014/02/policy.car_.pdf

We do NOT have keys to these rooms. If someone locks themselves out, they must ask downstairs for someone to let them in.

  • E-271 - The glass room that backs against the Digital Humanities Lab - This is a recording booth for interviews and podcasts. Prior training to use it is required, and it must be reserved in advance. The person who has scheduled it will pick up a key at the Circulation Desk downstairs.

We do NOT have a key! If the user locks themselves out they must ask downstairs to be let in again. (If you see the door open with no one in there, please pull the door shut, there's too much stuff that could walk away in there.)

Complete details on reserving the Audio Recording Booth are available here https://uwm.edu/libraries/dhlab/digital-humanities-lab-audio-recording-studio/

  • The Digital Humanties Lab (also called the DHL or Room E-272) - This space is not available for studying in. People who are authorized to be in there have access to a key.

We do have a key, and if someone comes and says 'I left my coat in there after the session this morning," you can go ahead and open it to let them retrieve it. But wait until they're done and lock it behind them. You may also notice that the same group of people meet there at the same time each week during your shift. If you feel comfortable letting those you recognize in instead of making them wait for the holder of the key, you can go ahead and let them in. But do not feel pressured to do so.

  • E-279 (also called the Research Consultation Room) - This room has equipment in it for making Camtasia captures for library instruction, and that sort of thing. We do have a key, but the authorized users generally have access to a key. Occasionally someone with a library badge on will ask to be let in. Ask them to get the key downstairs if they can, but if they say that they've just locked it inside or it's missing from the keybox, go ahead and let them in - but they must have a library badge on. If you see the door open with no one in it, please close it (or at least pull it to, so that no one can see in). Then when they come to be let in again, go ahead.

  • E-280 (also called the Seminar Room or The Fountain Room) - This room is used as a seminar/meeting room and we open the door for all users. Generally no one but instruction faculty and library staff are allowed in. The reservation for this room will show up on the calendar that is hanging next to the coat rack. Check there to see if there is something scheduled. Do NOT open the door for the students. They must wait for their instructor to arrive. Make sure that this room is locked at all times, unless there is a class going on - again, there are things that could walk away.
    • (for fall of 2018, it is offline as a meeting room due to gift sorting needs)

  • E-281  (also called the Classroom) - This is the room that gets used the most often, and is the one that we let people in to on a daily basis. Never open it in advance for the students. Always ask the faculty member if they need 'the box of toys,' or the remotes and markers. We aren't technically the keepers of the room, but because we are nearby and library tech folks are not here in the evenings, we are by default. If you have questions about the tech, ask. Make sure that this room is locked at all times, unless there is a class going on - again, there are things that could walk away.
